Feature Enhancements and Revisions by Version

2010

Description

Version 4.01

New Features and Revisions

WebStore (Requires a Valid Software Subscription)

With just a few clicks of the mouse, you can create a WebStore to list and sell the products you have in your Inventory List over the internet. All of the WebStore set up and configuration is done by selecting Setup > WebStore.

Creating a professional WebStore that is easy to maintain has never been easier. Just select the brands and departments to include, select a professionally designed graphic as the website header (or pick your own), make a few other setting selections, and your WebStore is up and running. Want to see what the WebStore looks like in a Browser, just select the WebStore button on the Application Toolbar.

The integrated WebStore using our proprietary Web Server technology makes it simple to create and maintain an on-line presence for your retail operation. With a WebStore, your customers will be able to view your available inventory, shop on-line anytime of the day, review their purchase history, re-print invoices, check order status, and much more. Employees can log into the WebStore and run selected reports, check out sales activity, and much more. For more information, see What's New in the Help system.

The WebStore Web Server technology is truly a break-through technology for the independent retailer. It enables a seamless operation between this program and the WebStore and provides features and capabilities only the largest retailers enjoy.

Shopping Cart Functionality will be available in 2nd Qtr 2011 for an additional monthly fee.

To get started, all you need to do is select Setup > WebStore. The WebStore Configuration Form helps you get your WebStore defined and up in running in just a few minutes. Once you have the WebStore working, review the on-line Help section on Deploying the WebStore to the Internet.

Images
The new Image List makes it possible to store images of products, people, logos, and other items. Once an item has been added to the Image List, the image can be associated with an item, customer, employee, vendor, or department. Item lookup windows and the WebStore display the images to make product identification and selection easier.

Automatic Image Downloading for “Connected” Vendors Vendors that submit their product listing to the Vendor Catalog also have the option of making images of their products available on a website. When new items are copied from the Vendor Catalog to your inventory, the WebStore Web Server will automatically download images for the new items.

Contracts
An item on a contract can specify “no discount”. This makes it possible to create a list of items for a group without having to discount the items on the contract.

Customer Form
The Customer Form was updated to handle several new features including the WebStore.

On the Billing Information Tab, you can specify to always keep special order items on one transaction with sale items (i.e. do not spilt the order). This overrides the default setting for the store. If a customer “Allows sales on account”, you must select the option to “Allow sub-accounts ..” before sub-accounts can be added to the customer.

On the Sales & Taxes Tab, you can specify both an Alternate Tax/VAT/GST rate and the taxable options for the customer.

On the WebStore Tab, the Access Tab enables you to specify an email address and password for the customer to log into the WebStore. The Logs Tab is used to display a log of all critical WebStore activity for the customer. The Billing Tab is present when the customer can “Bill” purchases, and is used to specify WebStore Billing options for the account, whether or not sub-accounts can bill, and whether or not new sub-accounts can be added.

Database Encryption
Basic file encryption has been added to all database tables that could store sensitive information.

Database Recovery
The Database Recovery (Recover Damaged Data Files) process now logs entries into the error log if it cannot verify a file was successfully recovered.

Descending Dates
The Batch Log, Card Transaction Log, Cash Drawer List, Error Log, and Time Clock List have been revised to show the most recent transaction first.

Connected Feature Options
Connected features can now be turned on or off for a vendor on the Purchasing Tab of the Vendor Form.

Sales Entry Receipts
Sales Entry receipts can now include the store website address. Just add this information to the Store Settings Form.

Sales Tax/VAT/GST Revisions
Sales Entry transactions can specify an alternate tax rate and indicate whether or not the sale is taxable. It is also possible to specify an alternate tax rate for a customer and indicate if the customer is tax exempt. This new capability makes it possible to track non-taxable sales to alternate taxing jurisdictions.

Security Settings
New security settings were added to the User Form to accommodate the WebStore.

X-Charge XPressLink
Added the support necessary to store credit card numbers in the X-Charge “on-line” vault. With this new X-Charge Server feature, no credit card data is ever stored (even encrypted) on the computer that has the X-Charge Server – totally eliminating the possibility of having credit card data stolen. Please contact X-Charge support at 800-637-8268 for help implementing X-Charge Server to use the new on-line storage option. You can also see www.x-charge.com for more details.

My Account (Subscription and Services) Access
Uniform Solution Customers can now access their registration information on-file with Premier Data Systems by selecting File > My Account from The Uniform Solution.

The My Account webpage displays all active license numbers by location, the date your software subscription expires, the company name and address on file, and your account balance and payment requirements. This interface currently allows the user to add, update, and remove credit cards on file with Premier Data Systems. Credit cards are stored in a secure encrypted vault and because they are entered on-line nobody at PDS would have access to the actual credit card number.

On-Line Payments using File > Registration > Internet will only allow payments to be made with the "Primary" credit card on file with the account. If you are using The Uniform Solution to make payments, make sure you set up the credit card you would like to use for payments.

To access your account, select File > My Account. The Uniform Solution will contact our new Registration Web Server and request to view your registration and account details in a Browser. If the license number and zip code (used by your local store in store settings) matches what is on file with PDS, you will see your account information. Access to your account requires the security setting "Update My Account" on the Setup Tab of the User Form to be set to enabled. You also have the option of setting a password to access your account once your Account Settings are displayed. Future enhancements to the My Account webpage will include the ability to setup automatic renewal of software subscriptions and the WebStore Shopping Cart functionality.

White Swan Vendor Stock Reporting
White Swan has implemeted Vendor stock reporting. You can activate VStock for White Swan by selecting "White Swan" on the Vendor Form > Purchasing Tab > Connected Options Tab.

Wink Scrubs EDI
Wink Scrubs is ready to receive EDI Orders. To use EDI with Winks, select "Wink Scrubs" on the Vendor Form > Purchasing Tab > Connected Options Tab.

Williamson-Dickies EDI and ASN
Williamson Dickies (workwear) has implemented both EDI and ASN capability. Please contact Michelle Rodriguez at mrodriguez@dickies.com about activating Williamson Dickies for EDI and ASN capability 4.01

Release Limitations for the WebStore

WebStore Products, Pricing, and Images Notice
Inventory items, item pricing, and new images added to items (and included in the WebStore) are only refreshed when a WebStore Configuration or Content Page is updated, or when “Refresh WebStore” is selected from the WebStore drop button on the application toolbar. In the future, this information will be updated in the WebStore as the information is changed. In the current state, the Web Server does automatically reload this information once a day shortly after midnight.

To force the WebStore to immediately refresh inventory items, prices, and images, select the Drop Arrow on the WebStore button on the Toolbar and select "Refresh WebStore". This will force inventory items and prices listed in the WebStore to be refreshed in the next 2 minutes.

Group/Contract Sign-in and Pricing
Customers with Contract pricing will not be able to see their specific contract pricing if they sign-in. If the customer has a discount, pricing does reflect the current discount and will match what is seen in Sales Entry.

Shopping Cart NOT Completed
Shopping Cart functionality that allows a customer to select items to purchase/order and pay for them is NOT complete. We hope to have this done in 1st to 2nd Qtr 2011. Credit Card payments will be processed using an X-Charge account. Shopping Cart functionality will cost approximately $100/month plus 1% of gross sales over $2K/month.
